The Campus Label app: privacy notice

The Campus Label LTD · Last updated October 2026

This explains what information we keep about you, why we need it, who can see it and your rights.

1. Who holds your data

The Campus Label LTD, company number 15722078, registered office 71-75 Shelton Street, London WC2H 9JQ.

This notice covers the Campus Label member app (studio.thecampuslabel.com). Our main website has a separate privacy policy.

2. What we collect

When you join and use the app, we may keep:

  • Your name, email and mobile number.
  • Your campus, where and what you study.
  • Your Campus Label role and membership status.
  • Your skills, interests and preferred roles.
  • Whether you’ve opted in to collaboration.
  • Your profile photo, if you add one.
  • Your projects, tasks, credits and, where relevant, performance reviews.
  • Basic app activity, such as when you last signed in.

We only ask for information we need to run Campus Label and your involvement in it.

3. Why we use it

We use your information to manage your membership, profile, projects and collaborations.

We may email or WhatsApp you about Campus Label activities, including onboarding, projects, opportunities, tasks, events and reminders.

Your skills and collaboration choices help us match you with suitable projects.

Data protection law requires us to have a proper reason for using your information. We use it where needed to run your membership and Campus Label, where we have a legitimate reason, where you’ve chosen to opt in, or where the law requires us to.

4. Who can see what

Other members can see your Campus Label profile, including your name, campus, roles, skills, photo and credits.

They can’t see your email address or mobile number.

Collaboration requests go through the app. Your contact details aren’t shared with another member unless you choose to share them.

People running Campus Label and your projects can see the information they need. Partners or venues may receive basic information needed for an activity you’re involved in, but not your personal contact details.

5. Where we keep it

We use Airtable and Softr to run the app, Google Workspace for email, WhatsApp Business for messages and Vercel for the website sign-up form.

Access is limited to people who need the information to run Campus Label.

Some technology providers may process information outside the UK. Where required, appropriate data protection safeguards must be in place.

6. How long we keep it

We keep the information we need while you’re an active member.

If you leave Campus Label, or haven’t used the app for two years, we’ll normally remove personal information we no longer need. We may keep information where there’s a legal, contractual or genuine record-keeping reason.

Credits are different. Credits on completed releases or projects may stay permanently as part of Campus Label’s history. If a credit is wrong, you can ask us to correct it.

7. Your rights

Depending on the situation, you can ask us to see, correct, delete or restrict your personal information, object to certain uses, receive certain information in a portable format, or withdraw consent where you’ve given it.

Not every right applies in every situation, but we’ll explain if we can’t do what you’ve asked.

Contact info@thecampuslabel.com.

If you’re unhappy with how we’ve handled your information, you can also complain to the Information Commissioner’s Office (ICO).

8. When you sign up

Before creating your account, you’ll be asked to tick:

“I confirm that I have read the Campus Label app Privacy Notice.”

This confirms you’ve been shown the notice. It doesn’t mean you’re giving us permission to do anything we want with your information.

Existing members will also be asked to read the privacy notice and policies in the app and confirm they’ve understood them.
